Job Summary

EMCOR Government Services has an opportunity for a part time Secretary III in Washington, DC. This position

involves operations and maintenance planning, organizing, coordinating, directing and controlling all contract functions to include those of the Project Manager.  This role is covered by the CBA for Local 99.

Essential Duties & Responsibilities

  • Fully responsible for the successful completion of all administrative aspects of the assigned contract
  • Manages the overall operations of the contract, including: the performance of daily operations, scheduled maintenance; IDIQ construction and renovations; administration of subcontracts for facilities work.
  • Efficient operation of the project, controlling operational expenses at a minimum level that is consistent with sound maintenance practices and contractual requirements.
  • Provide administrative support to site supervision in completing work assignments.
  • Create reimbursable project folders and update the folders with pertinent project documentation.
  • Coordinates purchase of necessary supplies, equipment and services from appropriate sources and coordination of proper inventory control, maintenance materials, and consumable supplies.
  • Maintains sufficient records, files, controls, and procedures to ensure management and work production.
  • Follow the EGS Business System.
  • Submit Purchase requests
  • Receive base and reimbursable PO’s
  • Review PO report and work with corporate to clear up any issues
  • Create work orders for IDIQ projects and process IBR’s with billing department
  • Monitor billing work file and prepare EGS monthly TAG materials 220 for GAO signature
  • Process payroll for all hourly EGS teams at the site
  • Assist the service center when needed with creating and closing service requests
  • Assist with close preventative maintenance tickets
  • Ability to run different types of MAXIMO reports to meet variety of requests
  • Support to Monthly Report delivery
  • Understanding of the recurring deliverables, their required submittal timeframe, responsibly to submit to the client, and archiving in database.

 

 

Qualifications

  • Five (5) or more years experience in administrative support on maintenance support operation contracts.
  • Ability to plan, organize, coordinate, direct, and control all aspects of facilities activities.
  • Ability to work with the customer to find mutually satisfactory solutions.
  • Ability to work with management systems and variety of skilled/unskilled, professional, administrative, and industry personnel.
  • General working knowledge of CMMS systems.
  • Strong experience with Windows and MS Office.
  • Demonstrated skill at developing and nurturing client relationships.
  • Excellent communication skills – verbal and written.
  • Ability to organize and lead a group of people.
  • Ability to work independently or as member of a team.
  • Ability to adapt to ever changing priorities.
  • Perform other tasks as directed by his Supervisor.
  • Candidate must be able to obtain HSPD-12 clearance.
