EMCOR Mechanical Services has an opportunities for an HVAC Senior Account Coordinator/Operations Coordinator to assist Operations Supervisor and coordinate HVAC maintenance services while serving as HVAC Controls subject matter expert under the EMS HVAC National Account Team. This position is located in Norristown, PA. This is a hybrid position which requires 4 days in office.

 

 

Under general supervision, this position will be wholly responsible for all aspects that pertain to your designated customer accounts. Conduct telephonic and electronic follow up and closing functions for open work orders on dedicated National/Supplier Management Accounts to meet the contractual obligations of each client. The intent is to ensure work orders are completed to standard and on time. This position will also involve daily customer communications, interaction with Operations Supervisor, which includes but is not limited to effectively keeping customers informed of work being performed at their location, providing timely, succinct updates to customers, and handling escalations. This position is the main point of contact for designated customers and provide professional feedback to National Team on HVAC controls related inquiries.  This role also processes the accounts payable, billing and service provider escalations/issues for designated customers.

 

 

Essential Duties & Responsibilities

  • Perform administrative support including placing orders, Operating Companies management, scheduling, reporting on, purchase order coordination, dispatching of work orders including Refrigerant management and management of customer portals.
  • Provide administrative, technical direction, HVAC Controls feedback and oversight to Operating Companies in completing work assignments.
  • Effectively responding to requests for maintenance and repair of facilities to include Heat ventilation & Air Conditioning, Security Components, IT equipment, emergency situations affecting the facilities, etc.
  • Maintain a strong safety program within EMS Guidelines.
  • Maintain proactive and efficient communications with employees, management, contractors, customers.
  • Accurately conducts daily/weekly reporting on open work orders for supervisor review.
  • Communicate regularly with service providers to get work order updates.
  • Communicate with supervisor on the work performed.
  • Attend weekly staff meeting and safety training.

 

 

Qualifications

  • 3 - 5 years’ experience in facilities maintenance, property management, HVAC controls and customer service role is required.
  • 3 -5 years’ experience in managing service delivery for trades labor specific to Heating, Ventilation, Air Conditioning, and/or Refrigeration is required
  • Must exhibit exemplary written, verbal and interpersonal communication skills.
  • Experience creating, reviewing, and presenting the materials for customer-facing meetings.
  • Associate’s degree or equivalent experience.
  • Advanced proficiency MS Windows Applications, including MS Excel and Word and PowerPoint.
  • Must be proficient at pivot tables, V look ups, filtering data and trimming formulas in Excel
  • Must be able to Type min 50 wpm and have good writing skills.
  • Must live commutable distance to the Norristown, PA office 
  • Must be able and willing to work a hybrid schedule which includes working from the office 4 days a week
