Job Title: Senior Accounts Payable Specialist

 

Essential Duties and Responsibilities


Included but are not limited to the following:

  • Process Vendor & Subcontractor Invoices for payment, maximizing discounts taken while ensuring Company policy & procedure requirements are met, all while helping achieve the company’s Cash Flow goals
  • Process P-Card transactions for proper job, project and general expense costing purposes
  • Process routine General & Administrative invoices & check requests for payment
  • Process and pay employee expense reports on a weekly basis. work with employees to resolve discrepancies / problems as needed
  • Handle Vendor inquiries as needed to ensure prompt problem resolution
  • Lead and coordinate New Vendor set-up processes, including ensuring proper documentation is secured (W-9’s, etc.)
  • Help prepare periodic P-Card activity status and exception reports
  • Research and reconcile Vendor & Subcontractor Account Statements to ensure proper recognition of accurate job / project costs and business expenses
  • Assists with End of Month AP Aged Trial Balance reconciliation to the General Ledger
  • File and index all accounts payable related documentation.
  • Lead and coordinate weekly vendor, subcontractor, and routine cost of business check runs
  • Assist Service Administrative Assistant in ordering Business cards
  • Handles vendor requests for Aircond Sales Tax Exempt forms and documentation
  • Assist with preparation of annual 1099 tax filings
  • Maintain the Construction Permits Checking Account
  • Assist with processing Business Licenses: including new license requests, renewals, and maintenance
  • Assist with the Quarterly Rebate program data collection and reporting processes, ensuring accurate and timely reporting of results each quarter.
  • Support Finance staff and Operations by answering questions about invoice level data within COINS.
  • Analyze spending and assists in cost control.
  • Flexibility to work outside normal work hours/weekends, as required.
  • Occasional but infrequent travel may be required.


Qualifications:

 

EDUCATION and/or EXPERIENCE

High School degree or equivalent required. A minimum of 10 years experience in Accounts Payable preferred.  Proficiency in Excel or equivalent spreadsheet software and Microsoft Office products desired.  Working knowledge of COINs accounting system software preferred.

LANGUAGE SKILLS

Ability to read and to analyze legal and business documents.  Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.  Ability to effectively present information to all levels of the organization.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference.  Ability to apply concepts such as fractions, percentages, ratios, and probabilities to practical situations.

REASONING ABILITY

Ability to define problems, to collect data, to establish facts, and to draw valid financial conclusions.
