Job Title: Solar Project Assistant
Principal Duties and Responsibilities
- Responsible for the day-day administrative support functions.
- Maintain and organize paper/electronic filing systems for the purpose of storing records, correspondence, and other materials pertaining to the Solar department.
- Assist the PM’s and sales department with misc. forms (prelims, lien releases/waivers, vendor account set ups, notarizations, etc.)
- Fill out our appropriate forms for pre-bid jobs & safety as requested for projects.
- Coordinate meetings, manage calendars, and support event planning.
- Assistant with scheduling phone calls and replying to emails.
- Processes change orders, audit for discrepancies for the solar department.
- Track receipts and catalog based on project for accurate job costing.
- Reviews and approves vendor and subcontractor invoices monthly.
- Liaison with the payroll department for all certified payroll issues.
- Processes all required permits and pulls in persons from cities as needed.
- Assist PM and superintendents with submitting and tracking all RFIs.
- Supports all Project Managers with daily requirements.
Job Specifications (incl. Education requirements, minimal experience, computer skills required, etc.)
- A minimum of two (2) years’ experience in back-office construction support.
- Experience in commercial solar preferred.
- Highly motivated self-starter, friendly personality, and team player, who can lead by example.
- Computer proficiency including MS Project, MS Office 365, Excel, Outlook, Word, and accounting applications.
- Ability to coordinate and work well with others.
- Ability to work independently or as a member of a team.
- Ability to adapt to ever-changing priorities.
- Strong organizational and communication skills, both written and verbal
Compensation Range: $32 - $36 per hour
