Job Summary

As a Project Coordinator, you will be responsible for the solar department projects. You will work closely with the Project Manager and Superintendent, attending and scheduling meetings and assisting in permitting, change orders, billing, and other clerical functions as assigned.

Essential Duties & Responsibilities

  • Develop and maintain all project folders in SharePoint once the project is booked.
  • Coordinate “Kick off” meetings with Sales/Development & Operations teams.
  • Organize and hold all pertinent project meetings as needed. Set up and track weekly project construction and/or client meetings. Ensure proper communication of meeting minutes to the entire team.
  • Source and order all main BOM for projects in conjunction with Project Managers, Superintendents, and engineering.
  • Issues and enters all PO’s and subcontracts required for solar projects.
  • Onboard any new subcontractors and/or vendors for the solar division. Work closely with our AP department to ensure all necessary documents are kept up to date in the accounting software and any invoice issues are resolved in a timely manner.
  • Liaison with the A/P department regarding invoices, vendor holds, PO cost discrepancies, and subcontracts.
  • Reviews and approves vendor and subcontractor invoices monthly.
  • Liaison with the payroll department for all certified payroll issues.
  • Processes all required permits and pulls in persons from cities as needed.
  • Assist PM and superintendents with submitting and tracking all RFIs.
  • Prepares and submits certificates of insurance.
  • Prepares Submittal Manuals as required.
  • Payment and performance Bonds if required by the customer.
  • Request and file all project prelim info, insurances, and bonds.
  • Work with the Project Management team to generate change orders deductive change orders as well as process & track subcontractor change orders.
  • Assist PMs in updating monthly billing, project SOVs & client invoices for their projects in accounting software.
  • Prepare all project close-out documentation for projects, including but not limited to: pre-functional testing reports, Commissioning checklists/reports, As Built Drawings, Warranty Statements, and O&M Manuals, etc. Assists the Project Manager with billings for jobs in the process and any required Pay Applications by the customer.
  • Assists the Project Manager with WIP Reports for the end of the month review.
  • Supports all Project Managers with daily requirements.

Qualifications

  • Bachelor’s degree in a related field of work; Construction Management, Engineering, or equivalent work experience
  • 3+ years’ experience in the renewable energy industry; solar PV project development and/or construction preferred.
  • Some experience reading and understanding technical specifications and construction documents.
  • Highly motivated self-starter, friendly personality, and team player, who can lead by example.
  • Computer proficiency including MS Project, MS Office 365, Excel, Outlook, Word, and accounting applications.
  • Ability to coordinate and work well with others.
  • Ability to work independently or as a member of a team.
  • Ability to adapt to ever-changing priorities.
  • Strong organizational and communication skills, both written and verbal

Geographic Disclosure

Compensation Range:   $36 - $41 per hour
