
We are a full-service HVAC, building automation, chiller, and retrofit contractor with a reputation for combining high-quality consulting services with customized energy solutions. Our integrated, single-source solutions include turnkey in-house capabilities with design assistance, as well as engineering applications and automated control systems.
This position will support the service department operations with general administrative tasks such as filing paperwork, answering phone calls, logging and delegating service requests, collecting required paperwork from technicians and other assigned tasks.
• Provide both primary telephone coverage as well as back-up to ensure continuous phone coverage is maintained. Requires prompt and pleasant answering of telephones and taking accurate messages.
• Complete various tasks within COINs
• Assist dispatchers by providing and processing PO/Pcard receipts for technicians.
• Assist with managing, organizing and maintaining various filing systems. Create or update records with new files and information.
• Special projects as assigned
• Process and order material for approved quotes, inform dispatch of parts arrive for approved work
• Assist local service quoter as needed
• Coordinate with warehouse on incoming and outgoing shipping orders
• Pick up parts and materials as needed from parts house if the warehouse team is unavailable.
• Deliver parts to techs on jobs if warehouse team is unavailable.
• Verify received items are labeled properly
• Filters: Review monthly PMs, order all Filters, Organize and inventory upon arrival to the shop. Adjust in coins and Maintain the AFS (Air Filter Supply) Account.
• Update and achieve accounts as needed.
• Move n Cools: Manage all move n cools. Update log on SharePoint and remind dispatchers of monthly billing.
• PM Logs & Sleaves- Keep Supplies stocked
• Prefill sleeves and log for Kick off meeting
• Order Service tools upon request for service manager,
• Assist fleet manager when needed for service-related needs
• Maintain recovery Tanks, responsible for having returned tanks cleaned and or replaced.
• Go over service tool list with new hires.
• Refrigerant management.
• Assist Operations with various tasks as needed
• High school degree or equivalent experience.
• Ability to file according to alphabetical or numerical order
• Working knowledge of Office programs such as Word and Excel.
• Comfortable with utilizing office equipment such as photocopier, scanner etc.
• Strong oral and written communication skills
• Excellent organization and interpersonal skills
• Excellent customer service communications
• Dependable with respect to confidentiality and policies

Compensation Range: $25 - $30 per hour
