Job Summary

The Project Coordinator is responsible for supporting the successful execution of mechanical service and construction projects by coordinating project activities, facilitating communication between internal and external stakeholders, and ensuring administrative and operational tasks are completed efficiently. This role works collaboratively with project managers, field personnel, customers, vendors, and administrative teams to support project objectives and maintain project organization throughout the project lifecycle.

 

Essential Duties & Responsibilities

 

Assist with the coordination and administration of mechanical construction and service projects.

Maintain project documentation, including contracts, submittals, RFIs, change orders, meeting minutes, and closeout documents.

Support project scheduling, procurement, and material tracking activities.
Coordinate communication between project managers, field teams, customers, subcontractors, and vendors.
Prepare project reports, job cost updates, and other project-related documentation.
Track project milestones, action items, and deliverables to support on-time completion.
Assist with invoicing, purchase orders, and project billing processes.
Support customer service efforts by responding to inquiries and coordinating project-related requests.
Ensure project files and records are maintained accurately and in accordance with company standards.
Promote a culture of safety, collaboration, accountability, and continuous improvement.

 

Qualifications

High School diploma or GED required.

 

Experience at the advanced level using Accubid, Microsoft Project and Bluebeam

Familiarity with local municipal jurisdictional procedures with regard to plan reviews, permitting, applicable codes, inspections, etc.

 

Compensation Range:   Minimum $52,000 maximum $66,000

 

Other Compensation:  position is eligible for an annual discretionary bonus.
