Job Summary

Control Solutions Group, Inc. seeks an organized, hospitality-minded, and proactive Office Administrator to join our team. In this role, you will serve as the anchor for our Utah branch operations. This pivotal role is responsible for the seamless daily logistics of our office, ensuring that our workspace remains a productive, comfortable, and welcoming environment for our entire team.

 

This role requires a "culture-first" mindset, with a proven ability to manage multiple priorities—from facility logistics and vendor coordination to event planning and employee onboarding activities. The ideal candidate will be a detail-oriented professional who takes pride in creating a workplace where employees feel supported and valued.

Essential Duties & Responsibilities

Facility, Fleet & Office Operations 

  • Reception & Guest Relations: Serve as the primary face of the office. Greet all visitors and clients in a professional, welcoming manner, and coordinate arrival logistics to ensure a positive first impression of the company.
  • Facility Oversight: Manage all aspects of daily office operations, including coordinating with cleaning vendors, overseeing building maintenance requests, and ensuring the physical space remains organized, professional, and welcoming.
  • Fleet Management: Oversee branch vehicle logistics, scheduling, maintenance tracking, registration renewals, and general upkeep to ensure company vehicles are safe, clean, and ready for field support.
  • Inventory & Supplies: Maintain all office and break room inventories. Proactively manage ordering to ensure the team is fully supported with necessary supplies and provisions.

Employee Experience & Culture

  • Team Engagement: Coordinate and facilitate a regular “Office Lunch" for the entire staff, handling menu selections, order placement, and delivery logistics to promote team bonding.
  • Event Planning: Take full ownership of internal events, including holiday celebrations, family appreciation events, and in-office training sessions. Manage everything from venue/catering logistics to internal marketing and execution.
  • Workplace Environment: Maintain office aesthetics through seasonal decoration and workspace improvements that keep the office environment comfortable and morale high.

Talent & Operational Support

  • Onboarding Coordination: Act as a key point of contact for new hires. Manage the preparation of new workstations, welcome packets, and initial office tours to ensure every new team member feels integrated and prepared from day one.
  • Cross-Functional Flexibility: Provide adaptable, hands-on support across various departments,
    stepping in to assist team members with ad-hoc projects, administrative tasks, and operational
    responsibilities as business needs evolve.
  • Catering & Meeting Support: Coordinate catering and logistical support for in-office meetings,
    technical trainings, and client presentations, ensuring a seamless experience for all attendees.
  • Communication Hub: Serve as the friendly, organized "face" of the office, assisting with officewide
    communications and ensuring team needs are met with a proactive, service-oriented
    approach.

Qualifications

  • Proven experience in office administration, hospitality, or a related role.
  • Excellent communication and interpersonal skills; ability to interact professionally with all levels of
    the organization.
  • Proficient in Microsoft Office and standard office management software.
  • A proactive, "can-do" attitude with a passion for building and maintaining positive team culture.
