Job Title: Front Desk Coordinator - Mesa, Arizona

 

The Front Desk Coordinator (FDC) is the first point of contact for vendors, customers, employees etc. The Front Desk Coordinator will perform a variety of duties and responsibilities across different departments.

Essential Duties & Responsibilities

Front Office Duties

  • Answer all phone calls & direct to the appropriate division or individual
  • Greet and assist vendors, clients, and employees. Ensure that all visitors have checked-in
  • Escort visitors to the appropriate individual
  • Sort and distribute all incoming mail and ensure all outgoing mail is ready for pickup
  • Facilitate delivery of packages to office employees
  • Prepare outgoing shipments and distribute incoming shipments
  • Maintain cleanliness/stocking of kitchen areas: coffee stations, trash/recycling, dishes, refrigerators, refill beverages, etc.
  • Scan & email unemployment claims to unemployment 3rd party provider
  • Order office supplies for the corporate office & field locations. Utilize Staples and Amazon to order product for the field as requested. Keep tabs on corporate office supply levels and order when needed to keep par levels stocked
  • Oversee Dynalectric safety toe boot reimbursement submissions
  • Work with senior leadership team to improve office operations and procedures
  • Assist employees with special mailings, such as certified mail

 

Vendor Management:

  • Manage performance, negotiate contracts or add-on services for all office vendors including, janitorial, coffee/beverage, shred, plant, pest, and facility services.  
  • Review invoices to determine accuracy of product delivery with follow-up as necessary
  • Act as the main point of contact for office maintenance requests. Contact appropriate vendors to resolve issues.
  • Build positive relationships with all vendors
  • Identify new vendors for the office and/or field per request

 

Miscellaneous Duties

  • Support HR by providing bilingual administrative expertise during new hire onboarding and department production needs.
  • Assist with company events
  • Assist with coordinating meetings, trainings, and presentations. Coordinate schedules, reserve conference rooms, assist with conference room setup
  • Establish and maintain positive relations with all departments
  • Assist with routine misc. office tasks
  • Other projects as assigned by HR Generalist

Qualifications

  • High School Diploma/GED is required, some college preferred
  • Bilingual fluency and professional working proficiency (oral and written) in both English and Spanish required.
  • Previous experience as a front desk coordinator, receptionist, or using a multi-phone line system preferred
  • Ability to operate a computer (desktop & laptop)
  • Good knowledge of MS Office Suite
  • Excellent written and verbal communication skills
  • Outstanding communication and customer service skills
  • Excellent organizational and time-management skills
  • Ability to multi-task in a fast-paced work environment

The Front Desk Coordinator is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment

Office-based. Monday – Friday during normal business hours.
