Job Summary

Midwest Sprinkler, a division o S.A. Comunale is seeking an Assistant Field Coordinator.  S.A. Comunale has been a local industry leader for end-to-end mechanical, fire protection and HVAC services for nearly 100 years.

With 16 locations and over 1,450 employees, including 850 skilled tradesmen throughout Ohio, Pennsylvania, New Jersey, Kentucky, Maryland, and West Virginia, S.A. Comunale can work in virtually every market sector and facility type.

Provide administrative support to the Lousiville Branch. Duties include general clerical, purchasing, inventory, and accounting responsibilities and project-based work. Project a professional company image through in-person and phone interaction. Other duties may be required as assigned by the Branch Manager.

Essential Duties & Responsibilities

  • Price and order misc. material (i.e. Backflow, Sprinkler Heads, Brass Items)
  • Process and create purchase orders for contract jobs.
  • Track all permits for contract jobs, including preparing them for submittal to the appropriate city and General Contractors.
  • Create and maintain various office records such as Permit Tracker.
  • Ensure all permit drawings get to the appropriate jobsite in a timely manner.
  • Schedule of inspections for contract jobs.
  • Assist with the scheduling of branch manpower.
  • Assist with general accounting functions (billings, accounts receivable, accounts payable).
  • Responsible for WIP process.
  • Create, update, and distribute various reports including the operations report, manpower report, design log, fire pump log.
  • Collaborate with the corporate office Safety Department on Toolbox Talks for all field employees – track and collect all needed information to hand over.
  • Assist in following-up with the 1-week look ahead.
  • Assist with the various meeting notes, as needed.
  • Assist with scheduling all meetings.
  • Assist Project Managers as needed.

Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and scheduling appointments

  • High School Diploma or GED is required.
  • 3+ years of administrative experience is required.
  • Previous construction industry experience is a plus.
  • Proven knowledge of Microsoft Office Software (i.e., Word, PowerPoint, and particularly Excel) is required.
  • Knowledge of general office machines and telephone systems is required.
  • Ability to think strategically, make sound decisions, and produce accurate and timely results is required.
  • Building positive working relationships with multiple levels of employees and management is required.
  • Demonstrating integrity and professionalism is required.
  • Demonstrating commitment to company values is required.
  • Excellent organizational skills is required.
