Job Summary

The Facilities Manager is responsible for overseeing the day-to-day operations, maintenance, and appearance of assigned office and laboratory facilities. This role provides leadership to facility personnel, technicians, and service providers to ensure the safe, efficient, and compliant operation of building systems while delivering a high-quality workplace experience for occupants.

The Facilities Manager serves as the primary site leader for facility operations, coordinating maintenance activities, managing vendor performance, monitoring facility conditions, supporting budget planning, and ensuring operational excellence across assigned properties. The successful candidate will possess strong leadership, communication, problem-solving, and organizational skills with the ability to effectively manage multiple priorities in a dynamic office and laboratory environment.

Essential Duties & Responsibilities

Position Duties / Responsibilities

Facility Operations Management - Oversee the daily operation and maintenance of assigned office and laboratory facilities to ensure safe, efficient, and reliable performance. Monitor facility conditions and proactively address issues that may impact occupant comfort, safety, productivity, or regulatory compliance. Ensure all building systems and support services operate effectively and meet organizational standards. Coordinate facility activities to minimize disruption to business operations and research activities.

Team Leadership & Supervision - Manage and provide direction to facility specialists, technicians, and support personnel. Assign, prioritize, and monitor work activities to ensure timely completion of tasks and projects. Promote a culture of safety, accountability, customer service, and continuous improvement.

Conduct regular staff meetings, coaching sessions, performance evaluations, and development planning.

Ensure employees perform duties safely, efficiently, and in accordance with company policies and procedures.

Vendor & Contractor Management - Manage on-site service providers and contractors responsible for building maintenance, repairs, and specialty services. Monitor contractor performance, quality of work, safety compliance, and adherence to service agreements. Coordinate maintenance schedules, corrective repairs, and planned projects with external vendors. Ensure contractors comply with site-specific safety requirements, work authorization procedures, and regulatory standards.

Building Appearance & Workplace Experience - Monitor the overall appearance and condition of assigned facilities, both interior and exterior. Identify and address conditions that could detract from maintaining an attractive, professional, and productive work environment. Coordinate corrective actions related to cleanliness, maintenance deficiencies, workplace aesthetics, and occupant concerns. Partner with workplace services teams to enhance employee and visitor experiences throughout the facility.

Maintenance Oversight & Quality Assurance - Oversee the execution and quality of mechanical, electrical, plumbing, and general maintenance activities performed by internal staff and contracted service providers.

Perform routine inspections to verify work quality, compliance, and operational effectiveness. Review maintenance reports, inspection findings, and work order data to ensure service standards are consistently achieved. Monitor preventive and corrective maintenance activities to support equipment reliability and facility performance.

Communication & Stakeholder Management - Communicate effectively with facility staff, building occupants, leadership, contractors, and service providers. Serve as a primary point of contact for facility-related issues, requests, and operational updates. Provide regular status updates regarding maintenance activities, project progress, and facility performance. Foster positive working relationships with stakeholders and support a customer-focused service culture.

Safety, Compliance & Risk Management - Ensure compliance with all applicable health, safety, environmental, and regulatory requirements. Promote safe work practices and monitor compliance with company safety policies and procedures. Participate in incident investigations, corrective action development, and risk mitigation initiatives. Support emergency preparedness planning and facility response activities.

Qualifications

Education

(HS Diploma, Under/Graduate Degree, etc.)

Bachelor's degree in Facilities Management, Engineering, Construction Management, Building Operations, Business Administration, or a related field; equivalent trade education and relevant experience will be considered.

Business Experience

(prior years work/related experience)

Minimum of 3 to 5 years of facility management, building operations, maintenance supervision, or related leadership experience.

Experience supporting commercial office, laboratory, life sciences, healthcare, higher education, or industrial facilities preferred.

Demonstrated experience supervising facility personnel and managing service providers.

Knowledge of building systems including HVAC, electrical, plumbing, fire protection, and general building maintenance.

Strong communication, organizational, leadership, and customer service skills.

Licenses/Certifications

IFMA Facility Management Professional (FMP), Certified Facility Manager (CFM), BOMI certification, OSHA certification, or equivalent professional credentials.

Language Skills

Ability to read and interpret documents such as safety rules, operating maintenance instructions and procedure manuals.  Ability to write routine reports and correspond accordingly.  Ability to speak effectively before groups of customers or employees of an organization.

Technical Qualifications & Skills

Experience supporting laboratory, pharmaceutical, biotechnology, healthcare, or research facilities.

Experience with contractor management programs, preventative maintenance planning, and budget administration.

Knowledge of Environmental Health & Safety (EHS) programs and regulatory compliance requirements.

Experience with capital projects, tenant improvements, and facility renovations.
