Job Summary

Coordinates, monitors and improves field service activities for the Philadelphia Branch. Provides support and guidance to service personnel who perform on-site routine services including installation, maintenance, and repair. Ensures field services are effective and customer requirements are met. Familiar with standard concepts, practices, and procedures within the fire protection industry. Relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks. May lead or direct the work of others. A certain degree of creativity and latitude is required.

Essential Duties & Responsibilities

Include the following. Other duties may be assigned.

 

  • Perform basic clerical duties, including answering the phone, filing, and maintaining an organized office.
  • Responsible for accounts receivable, including checking the status of payments, processing lien waivers, and picking up checks as needed.
  • Responsible for accounts payable, including processing purchase orders in ERP, approving invoices for payment and submitting invoices to accounts payable.
  • Responsible for processing payroll for field personnel including obtaining employee time information, entering time information into the branch database, and submitting time information to the Payroll Department, and checking the edit listing before the check run.
  • Order office supplies and receive all packing slips for incoming shipments.
  • Run weekly job cost reports for contract and service meetings.
  • Process all incoming and outgoing mail, including UPS shipments.
  • Schedule/coordinate repairs of office equipment as needed.
  • Assist with required accident reporting.
  • Organize branch events, lunches, and travel arrangements.
  • Obtain and process paperwork for the fitters, including test papers, expense reports, work tickets, completed punch lists, and Tool Box Talks.
  • Schedule testing with AHJ and confirm with foreman.
  • Responsible for obtaining field employee new hire paperwork.
  • Issue subcontract purchase orders.
  • Responsible for submitting target fund timesheets to Corporate.
  • Process lay off checks.
  • Responsible for EZ Passes, vehicle registration – scan and distribute, and cell phone management in coordination with Corporate.
  • Responsible for Blue ticket orders; fabrication, material, and tools.
  • Responsible for material purchasing and equipment tracking as needed.
  • Update and enter information into FMS as needed.

This position has no supervisory responsibilities.

  • High school diploma or GED is required.
  • 5+ years of administrative experience is required.
  • Prior field coordinating experience is a plus.
  • Previous construction industry experience is a plus.
  • Excellent customer service skills are required.
  • Demonstration of a positive attitude is required.
  • Proven knowledge of Microsoft Office Software (i.e. Word, PowerPoint, and particularly Excel) is required.
  • Ability to think strategically, make sound decisions, and produce accurate and timely results is required.

  • Demonstrating integrity and professionalism is required.
