Job Summary

We are seeking a highly organized and detail-oriented Sales Administrative Assistant to support our service sales team. This role plays a critical part in keeping the sales operation running efficiently by managing administrative tasks, coordinating internal processes, and supporting account managers with day-to-day activities.

The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced environment where accuracy and responsiveness are key.

Essential Duties & Responsibilities

  • Provide administrative support to the sales team, including account managers and leadership
  • Manage and maintain CRM data (updating contacts, tracking opportunities, ensuring accuracy)
  • Assist with proposal preparation and contract documentation
  • Track and follow up on quotes, proposals, and sales opportunities
  • Process service agreements, renewals, and related documentation
  • Prepare reports on sales performance, pipeline activity, and key metrics
  • Serve as a liaison between sales, operations, and customers to ensure smooth communication
  • Support onboarding of new customers and ensure proper documentation is completed
  • Assist with marketing or outreach efforts when needed (email campaigns, client communications)

 

Qualifications

  • 2+ years of administrative, sales support, or coordination experience
  • Strong organizational skills with the ability to manage multiple priorities
  • High attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office (Excel, Word, Outlook); experience with CRM systems (Dynamics 365 preferred)
  • Ability to work independently and as part of a team
  • Customer-focused mindset with a professional demeanor
