SUMMARY

 

The Receptionist/Accounting Assistant answers the phone and transfers callers, welcomes visitors, sends and receives mail/packages, and assists the accounting/operations department with accounting/finance duties. This position also provides a wide variety of clerical support. This position is onsite role.

Essential Duties & Responsibilities

Essential responsibilities include but are not limited to performing the following regularly or as a back-up:

 

  • Greet all visitors so they feel welcome and notify business leaders guests have arrived. Ensure visitors sign in.
  • Answer phones, screen calls, transfer, conference, and take messages.
  • Handle and distribute all office mail and packages, both incoming and outgoing.
  • Provide general office support to all departments.
  • Create AR invoices, billings and credit memos.
  • General Ledger posting.
  • Update customer files.
  • Compile and maintain exempt certificates
  • Organize and maintain A/R records.
  • Assist with month end close by verifying general ledger accounts.
  • Close A/R cycle timely in order to help with monthly accounting closing.
  • Assist with audits, both internal and external, by handling all accounts receivable related requests.
  • Support Project Managers.
  • Additional support or be a backup support to Finance/Accounting/Operations department.

Qualifications

EDUCATION and/or EXPERIENCE

 

  • 2 - 5 years working in an administrative job, supporting management. Clerical experience working in Accounting/Finance a plus.
  • Two-year degree (or equivalent electrical construction-related work experience) preferred.
  • Working knowledge of the construction industry, operations management, and safety practices.
  • Working knowledge of federal, state, and city regulations and guidelines.
  • Must demonstrate proficiency in Microsoft Office applications, particularly Microsoft Outlook and Excel.
  • Accounts receivable and billing experience a strong plus.
  • Ability to communicate effectively with various departments and outside vendors.

This role requires communicating verbally and in writing one on one, in small groups, as well as presenting to larger groups of employees.  The employee should be able to work at a computer (reading and keying) for extended periods of time.
