Job Summary:

KDC Inc. is seeking a highly organized and responsible Field Operations Coordinator to join our team. The Field Operations Coordinator will assist the Director of Field Operations and Superintendents managing daily field activities, bridging office and field teams while ensuring Strict compliance with union labor rules, safety standards, and manpower scheduling. They must be reliable, punctual, organized, and have a demonstrated ability to juggle multiple priorities in a very busy office.  This is a great opportunity for the right person.

 Essential Duties and Responsibilities:

  • Manpower moves – send manpower emails with job information, and move workers’ tags on the board
  • Maintain up-to-date reports for staff additions, reductions (ROF), transfers, and furloughs
  • Timesheets – print timecards, verify hours and job numbers, and submit to payroll on Fridays (the following Monday morning at the latest)
  • Handle dispatching, job number tracking, and labor reports according to union
  • Ensure field operations adhere to specific union labor rates, work hours, overtime rules, and job classification requirements.
  • Ensure compliance with OSHA and safety training requirements outlined in the CBA
  • Badging – have field employees fill out application; make appointments for employees to report to the badging office; following confirmation, update the DBID tracking spreadsheet and workers’ tags
  • Tags – make new job tags and employee tags for the labor tracking white board
  • Create and maintain divider tabs for Superintendents’ turnover packets
  • Assist in processing shirt orders
  • Events planning and coordination- send calendar invites, order food, drinks, and print sign-in sheets and agendas to distribute at meetings
  • Layoffs – turn timecard into Payroll; remove tag from board; coordinate with supervisor for check delivery; enter in databases; send term slip request to Payroll; ensure JW or Apprentice evaluation is completed
  • Water for Job Sites – establish, maintain, and cancel water orders for job sites
  • Suspension List from Union Hall – contact the employee directly and have them pay their dues within 2-3 days of notification
  • Evals – find out Apprentice’s job assignment and email appropriate F & GF to complete evaluation; confirm evaluation is filled out in full, get Superintendent’s approval, and then send to the JATC; enter the evaluation into database and provide Payroll with a hard copy to file
  • Rerates – forward email to Payroll; get Superintendent’s approval; enter in databases; update tag on board if needed
  • Apprentice School Schedule – keep track of all apprentices’ school schedules and report them to the Superintendents and field General Foreman and Foreman
  • On-Call Reminders – send out reminders on Monday to both the inside and low voltage foreman who are on-call that week
  • On-Call Folder – update and distribute the on-call folder at the start of each month; send one set to executives and a second set to the inside & low-voltage Foreman [The execs should receive a copy that includes the office personnel numbers and passcodes, whereas the Field should not; in addition, the field on-call schedule is different from the executive on-call schedule (it’s easier to ready, and handier for them)]
  • Vacation Requests – once the request has been approved, log it in the vacation tracking spreadsheet and send a calendar invite to Superintendents
  • Medium Voltage Calendar – log dates that have been requested and distribute log to all involved parties (based off the calendar) whenever there’s an update
  • Local Union Agreements – keep agreements up to date in both the V Drive and binder
  • State Certifications – send out renewal notices; confirm renewal status using state website to determine whether you can expect to receive a card soon or will need to send another reminder to start the process
  • Perform clerical duties, take memos, maintain files, and organize documents; photocopy, scan, etc. as needed
  • Use computers for various applications, such as database management or word processing
  • Help prepare reports and presentations for distribution in the Field
  • Manage and maintain files, records, and correspondence for meetings; keep an organized filing system
  • Update Field calendar and maintain schedules
  • Create, maintain, review, correct, and enter information into databases
  • Maintain confidentiality of company information
  • Escalate critical and/or sensitive issues to the VP of Field Operations with recommendation for resolution
  • Perform additional assignments as required by the company or as directed by management

Preferred Education and/or Experience

  • Prior experience handling office responsibilities, experience in customer service, or related field
  • High school diploma or GED required
  • Bachelor’s Degree or currently pursuing preferred
  • Working knowledge of the construction industry, operations management, and safety practices a plus
  • Working knowledge of federal, state, and city regulations and guidelines

  • Working knowledge of projects and financial software a plus.
