Job Summary

Havel is looking for a Service Coordinator to provide support for customers, field personnel, sales people, service manager, and operations managers.

Essential Duties & Responsibilities

  • Coordinate and dispatch all incoming HVAC/mechanical service calls, ensuring proper scheduling and technician assignment.
  • Create and maintain job numbers in the electronic dispatch system, including manual entry for warranty, install, and project work not generated through the service app.
  • Process AIS/CIS entries, purchase orders, cash receipts, and pricing updates within Truline and Studio 360.
  • Review, reconcile, and finalize all technician service reports, including editing, correcting, addressing issues, ensuring POs and hours match AS400 entries, and obtaining Operations Manager approvals as needed.
  • Scan, index, and maintain all service documentation in Studio 360.
  • Prepare and send customer certifications and other required documentation.
  • Track PTO and related administrative records for technicians.
  • Run required financial and operational reports, including bi‑weekly Cost/No‑Bill reports and weekly A/R statements.
  • Perform inventory control functions.
  • Make late‑payment follow‑up calls and support customer billing activities, including maintaining billing spreadsheets.
  • Send renewal letters for customer agreements approaching expiration.
  • Perform additional administrative and operational support duties as assigned.

Qualifications

  • Background experience in administrative duties and customer service.
  • Experience within the construction industry preferred.
  • Working knowledge of Microsoft Word, Excel, and PowerPoint.
  • Aptitudes of attention to detail and proficient time management.
  • Possess a willingness to learn and ability to work well with others.
  • Excellent written and verbal communication skills.
  • Regular and reliable attendance, including the ability to work extended hours and weekends as required.
