Job Summary


Position Overview:



The License Coordinator is responsible for the overall management of all corporate, professional, and contractor licensing to ensure the company and its employees are in full compliance with all federal, state, and local regulations. This role requires a detail-oriented professional with a deep understanding of the complex legal and administrative requirements within the construction industry. The coordinator ensures timely renewals and applications for licenses across multiple jurisdictions and provides support in tracking continuing education requirements and other maintenance obligations.

Essential Duties & Responsibilities


Key Responsibilities:



  • Prepare, submit, and track applications and renewals for business and professional licenses across multiple jurisdictions.

  • Maintain accurate and up-to-date records of all licenses and compliance deadlines in internal databases.

  • Act as the primary point of contact and liaison with government agencies, licensing boards, and legal teams to resolve questions or issues.

  • Research and stay current on changing laws and regulations that impact construction licensing.

  • Understand and communicate all requirements for license maintenance, including continuing education, to the appropriate personnel.

  • Provide guidance to internal staff on licensing and maintenance requirements and best practices.

  • Support project managers by providing the necessary license information for new and ongoing projects.

  • Generate and distribute regular reports on the company’s licensing status to key stakeholders.

  • Conduct internal audits of licensing practices to ensure continuous adherence to legal and contractual obligations.

  • Collaborate with internal departments to ensure licenses are aligned with project and business needs.





Qualifications


Qualifications:



  • Education: A bachelor's degree in a relevant field such as Construction Management, Business Administration, or Legal Studies is preferred, or an equivalent combination of education and experience.

  • Experience: Proven experience in a licensing, compliance, or administrative role, preferably within the construction or contracting industry.





Technical Skills:



  • Proficiency in licensing management software and/or database systems.

  • Experience with licensing application and maintenance processes across various jurisdictions.

  • Strong knowledge of relevant local, state, and federal construction laws, codes, and ordinances.

  • Exceptional Attention to Detail: Ability to meticulously manage and track a large volume of paperwork and deadlines.

  • Strong Communication Skills: Excellent verbal and written communication for liaising with government officials, internal teams, and subcontractors, as well as for communicating complex information.

  • Organizational and Time-Management Skills: Ability to prioritize tasks and manage multiple, concurrent projects efficiently.

  • Problem-Solving Skills: Capacity to resolve unexpected issues, such as delays or denial of licenses.

  • Ability to work independently and as part of a team.
